Group Payroll Specialist

Job Summary:
EveryMatrix is looking for an awesome Group Payroll Specialist in our HR team in Bucharest. As part of the HR admin & payroll team within the HR Department, you act as a subject matter expert and manage all HR payroll & benefits areas on local level, ensuring support for all internal clients on different programs, processes, tools and systems, striving for compliance with legislation and delivering outstanding employee experience.

  • Act as main contact person and manage the payroll processes and the benefits administration, depending on the company’s needs and also in relation to the competent authorities that regulate the labour relations between employer and employee;
  • Manage the relationship with outsourcing company, providing on-time and accurate information and documents needed for for payroll or for any other scope;
  • Maintains the relationship with external suppliers (payroll, medical services, ensuring effective communication and trying to find solutions that constantly improve collaboration and add new opportunities;
  • Responsible in updating, maintaining and centralising data in/from internal tools in order to provide all the needed information required for monthly payroll;
  • Checks and updates the databases regarding the various special assignments as: personal data, change of position, change of salary, deductions, bank accounts, etc.), ensuring records are accurate;
  • Execute tasks independently, enter data and retrieve information from the group-specific system, perform data validation, audit own data entry for accuracy and make corrections as needed;
  • Checks the payroll sheet prepared by the external providers in order to identify possible corrections;
  • Ensure support for all needed documents, reports, invoices, etc. for monthly financial closing
  • Run, create and develop reports on HR data for analysis and decision-making, statistical data analysis, audit processes and other reports required by managers;
  • Provide comprehensive HR Admin&payroll support in all activities related to HR (employments, leavers, changes of contracts, suspensions, benefits administration, salaries);
  • Act as a main point of contact for payroll-related queries from employees and/or managers;
  • Provides support to employees regarding payslips and clarifies any details related to salary calculation in a way easy to understand and with focus on customer needs;
  • Checks compliance with internal procedures/regulations related to internal procedures/policies or legislation and ensures the monitoring and implementation of the necessary legislative changes within the company;
  • Act as a backup for Admin and Payroll specialists when needed;
  • Contribute to the HR system implementation projects and other change initiatives, support documentation and testing of system enhancements when needed;
  • Manage the internal and external communication with stakeholders related to payroll and benefits area;
  • Participate in assigned training and self-learning based on the development plan;
  • Works in a team, constantly collaborates with the rest of the members, according to internal workflows.


  • Associate’s or bachelor’s degree in economics preferred;
  • Human inspector and payroll certificate would be a plus;
  • Proven experience in a payroll position in a fast-paced environment required;
  • Strong knowledge of labour and fiscal legislation;
  • Advanced MS Office package (especially Excel);
  • Fluent in English;
  • Ability to work independently, as well as engaging with co-workers in different project teams;
  • Good planning and organising and ability to prioritise activity;
  • Customer service-oriented person and willing to help;
  • Strong analytical and problem-solving skills;
  • Proactivity and excellent communication skills (both written and verbal);
  • Integrity and trust, accurate working style;
  • Enthusiastic and go-getter person, open to change, digital and innovation;
  • Ability to work with various tasks, that can change depending on the business needs;
  • Very good understanding of payroll processes, ability to identify and ask for missing data from internal customers and to mitigate risks of errors.

  • 33 days off per year, including public holidays, rising to 43 by year 5 inside the company
